Receiving an Encrypted Email

Just like any other email, you will receive a message from the sender to your normal mailbox.

When you open the email, it will yield a message similar to what is shown below.

(1)  Open the notification email you received.

(2)  Open the attachment, SECUREDOC.HTML. This will open the following web page.

(3) Select your email address from the drop down list in the field. NOTE: Make sure you select the address to which the mail was sent. You will not be able to read the encrypted email if you choose a different email address from the list.

4)  Click the Open button. If you have already registered before, you will be directed to the email.  If not, you are required to register an account with the system one time and the following web page will open.

(5) Click on the link. You should see the following web page.

(6)  Complete the form and click the REGISTER button. You should see the following web page.

(7) Check your email. You should receive the following email.

(8) Click the Click here to activate this account link in the email. You should see the following web page.

(9)  You can now click on OPEN to read the encrypted email using your newly created account.


Things to remember:

(1) The subject line for your email is NOT encrypted!  So do NOT put any confidential information in the subject line.

(2) If you are using the SUBJECT LINE method, please make sure you double-check the correct spelling of "SECURE".  It is NOT case sensitive.  So "secure", "Secure",  and SECURE" can be used.  You may put other subject heading information in the subject line in addition to the "secure" keyword.

(3) Registering a username for accessing encrypted email is required, but will only be done once per recipient.

(4) BCC (Blind copies) are not supported with encrypted emails.

(5) Check with your department supervisor to determine what emailed information should be encrypted.

(6) If other companies send encrypted emails to you, you will most likely have to register with their system too.
